Campus Events

Purpose and Scope​

The Campus Events feature on the CampX platform is designed to streamline the organization and management of various events within the institution. It allows for the creation, promotion, and administration of events, thereby enhancing campus life and student engagement.

Accessing the Feature​

Users can access the events feature by navigating to Activities > Events from the main navigation menu.

Functionality Overview​

Adding New Events​

  • Users can initiate the creation of a new event by clicking the New Event button.
  • The event creation form includes fields for:
    • Event Name: The title of the event.
    • Event Type: Categories such as Academic, Co-Curricular, or Extracurricular.
    • Event Date and Time: When the event will take place.
    • Event Location: The physical or virtual location of the event.
    • Organizer: The individual or group organizing the event.
    • Event Admin: The person responsible for managing the event details.
    • Event Description: A detailed description of what the event entails.
    • Cover Image: A visual representation for the event.
    • Capacity: The maximum number of participants.
    • Entry Fee: An option to specify if the event has an associated fee, and if so, the amount.

Event Management​

  • Within an individual event page, admins can:
    • View a list of interested members or registered participants.
    • Export the list of participants for event coordination or record-keeping.
    • Edit event details as necessary to reflect any changes or updates.
    • Add images to the event gallery for visual documentation of the event.
    • Download an event report PDF for administrative or archival purposes.

Student Interaction and Participation​

  • Students can discover all upcoming events via the student mobile app.
  • For free events, students can indicate their interest directly in the app.
  • For paid events, students have the option to register and submit the event fee if applicable.
